Privacy Policy
PlayAbility Sports ("PlayAbility," "we," "us," or "our") respects your privacy and is committed to protecting the personal information of families, parents, guardians, and children who interact with our website and programs.
This Privacy Policy explains how we collect, use, disclose, store, and protect personal information when you visit our website, complete a registration form, contact us, or participate in PlayAbility Sports programs.
1. Who We Are
PlayAbility Sports provides inclusive sports programming designed to support children, including children on the autism spectrum and children with different developmental, social, or physical abilities. Our goal is to create a safe, supportive, and encouraging environment where every child can participate at their own pace.
2. Information We Collect
We may collect personal information when a parent or guardian completes a registration form, contacts us, or otherwise communicates with us.
The information we may collect includes parent or guardian names, email addresses, phone numbers, emergency contact information, and registration details. We may also collect information relating to a child, including the child’s name, age or date of birth, and program participation information.
Where necessary to safely support participation in our programs, we may also collect sensitive information such as allergy information, medical information, accessibility needs, accommodation requirements, behavioural considerations, developmental support information, or other relevant safety-related information provided by a parent or legal guardian.
If payments are made through the website, billing or payment-related information may also be collected or processed through authorized third-party payment providers.
We only collect information that is reasonably necessary for registration, program administration, communication, safety, and the delivery of our services.
3. Children’s Information
Because our programs are designed for children, we may collect limited personal information about children through their parent or legal guardian.
We do not knowingly collect personal information directly from children without the involvement of a parent or legal guardian. Registration forms and participation-related information must be submitted by a parent or legal guardian.
Any information relating to a child’s health, diagnosis, disability, support needs, allergies, accommodations, or behavioural considerations is treated as sensitive information and used only for program planning, safety, supervision, accessibility, and participation support purposes.
4. How We Use Personal Information
We may use personal information to process registrations, manage participation, communicate with parents or guardians, administer programs, support accessibility and accommodation needs, maintain attendance and scheduling records, process payments, respond to emergencies, improve our services, and comply with legal, insurance, accounting, safety, and operational requirements.
Personal information may also be used to respond to inquiries, provide updates relating to programs, maintain internal records, and support the safe delivery of services.
We do not sell personal information.
5. Consent
By submitting a registration form, contacting us, or otherwise providing personal information to PlayAbility Sports, you consent to the collection, use, and disclosure of that information in accordance with this Privacy Policy.
Where sensitive information relating to a child is provided, including medical, behavioural, accessibility, developmental, allergy, or accommodation information, we rely on the consent of the parent or legal guardian to use that information for the purpose of safely supporting the child’s participation.
Consent may be withdrawn at any time, subject to legal or contractual restrictions and reasonable notice. However, withdrawing consent may limit our ability to provide programs, accommodations, supervision, or support services.
6. Photos, Videos, and Media
PlayAbility Sports will not use a child’s photo, video, image, name, or likeness for promotional, website, social media, or marketing purposes unless we have obtained separate consent from the parent or legal guardian.
Any media consent will be requested separately from this Privacy Policy.
7. How We Share Information
We may share personal information only where reasonably necessary for operational, safety, or legal purposes.
Information may be shared with coaches, instructors, volunteers, program staff, or administrators who require the information to support a child’s participation and safety. Information may also be disclosed to emergency contacts, medical personnel, insurers, legal advisors, payment processors, website or technology service providers, or regulatory authorities where necessary or legally required.
Third-party service providers who process information on our behalf are expected to maintain appropriate safeguards and use personal information only for authorized purposes.
8. Payment Information
Where online payment options are provided, payment information may be processed through third-party payment providers.
PlayAbility Sports does not intentionally store complete credit card information unless specifically disclosed. Payment processing activities are subject to the privacy and security practices of the applicable payment provider.
9. Website Analytics and Cookies
Our website may use cookies, analytics tools, or similar technologies to support website functionality, maintain security, improve website performance, and better understand website usage.
These technologies may collect technical information such as IP addresses, browser types, device information, website activity, pages visited, and session duration.
Users may disable or manage cookies through their browser settings; however, certain website functions may not operate properly if cookies are disabled.
10. Retention of Personal Information
We retain personal information only for as long as reasonably necessary to fulfill the purposes described in this Privacy Policy, including program administration, safety, legal, insurance, accounting, and operational requirements, or as otherwise required by applicable law.
When personal information is no longer required, we will securely delete, destroy, anonymize, or de-identify the information in accordance with our retention and record management practices.
Information relating to children, including health, accessibility, behavioral, or accommodation information, will be retained only for as long as reasonably necessary to support participation, safety, legal, insurance, or operational requirements.
11. Security Safeguards
We implement reasonable administrative, physical, and technical safeguards designed to protect personal information against unauthorized access, misuse, loss, disclosure, alteration, or destruction.
These safeguards may include password-protected systems, restricted access controls, secure storage practices, limited staff access, and the use of reputable service providers.
While we take reasonable steps to protect personal information, no method of electronic transmission or storage can be guaranteed to be completely secure.
12. International Storage or Processing
Some of our service providers may store or process personal information outside Ontario or Canada.
Where information is processed outside Canada, it may be subject to the laws of that jurisdiction. We take reasonable steps to ensure that service providers protect personal information in a manner consistent with this Privacy Policy.
13. Access, Correction, and Deletion Rights
Parents or legal guardians may request access to personal information held by PlayAbility Sports relating to themselves or their child. Individuals may also request corrections to inaccurate or incomplete information or request that certain information be deleted, subject to legal, safety, insurance, operational, or recordkeeping obligations.
We may require verification of identity before responding to a request.

Our website may contain links to third-party websites, platforms, or services that are not operated by PlayAbility Sports.
We are not responsible for the privacy practices, content, or security of third-party websites or services, and users are encouraged to review the applicable privacy policies of those third parties.
